Why do some people I send e-mail to see a winmail.dat file attached to the message?

Overview:

Some people who receive e-mail from you may see an attachment named 'winmail.dat' along with the message you sent. This is a result of a combination of them not using Microsoft Outlook to receive e-mail and you using Outlook's RTF formatting in your e-mail message. Messages sent in plain text will never have the winmail.dat attachment issue. That's because the winmail.dat file allows Outlook users to send Transport Neutral Encapsulation Format (TNEF) information along with the rich-text formattted e-mail so that it retains the look and feel of the document with formatting, fonts, and colors when its received by another Microsoft Outlook user. (Outlook discards the attachment after reading its contents so the recipient doesn't even know it was there.) To prevent the winmail.dat file from showing up for non-Outlook users, follow the procedure below.

Procedure:

  1. If the recipient is in your address book..

    1. Open up your Outlook Address Book, either by clicking on the Address Book icon or by choosing Tools->Address Book.

    2. Click on the recipient's entry in your address book and open up their Properties, either by clicking on the Properties button or double-clicking on the recipient's entry.

    3. Double-click the contact's e-mail address in the Properties dialog window.

    4. Next to Internet format, select "Send Plain Text Only".

    5. Click OK.
  2. If you enter the recipient's address manually in the To: line of your email message EACH TIME you send a message to this person, you must:

    1. Create a new email message as you normally would.

    2. Before sending the new message, choose Format->Plain Text from the menu bar.

    3. Now send your message.
  3. You may change your default sending mode in Outlook, thereby sending all email messages as plain text, by doing the following:

    1. Click Tools->Options from the Outlook menu bar.

    2. Select the "Mail Format" tab in the dialog window.

    3. In the first drop-down list, under the "Message Format" heading, select Plain Text.

    4. Click OK.
