Sharing a folder in Entourage

Document: Q1378

Overview:

What is Folder Sharing?

This is when two Outlook/Entourage users who both use an Exchange account under the same organization can share their Exchange folders with each other. For example, you could share your Calendar with another Outlook/Entourage user so that person can view your Calendar. Folder sharing is a way to provide access to another person’s folders, but it does not include permissions for one to act on behalf of the other.

Sharing a folder is not the same as delegating a folder.

Delegation is the Outlook/Entourage feature by which you grant someone permission to receive and respond to meeting requests or responses and to send e-mail messages on your behalf. This is a more advanced feature than simple folder sharing. The person granted this permission is called the delegate. You can grant the delegate limited permissions or up to full control over items in your mailbox and calendar.

Procedure:

To share an Exchange folder, first Set the ‘Folder Visible’ permission for the person(s) you want to grant access to this folder at the root level of your Mailbox Account first. Then set the permission level for the specific folder you want to share for the people you wish to grant access to. If your still having permission access issues, contact your Exchange servers administrator to have them grant that users account access on the server for you.

This example is for sharing your Calendar:

In Entourage, choose Calendar, right click the folder then choose Sharing

Type the name of the user you want to share the Calendar folder with, and then click "Find" Select the person's name in the search results, and then click "OK".

Click Add User and choose the user from the list

Highlight the user and set what specific permissions you want to grant them- Click OK to complete
