Overview:
When you attempt to add a large number of items to a contact distribution list, you may receive one of the following error messages:
- This distribution list has reached the maximum size for your network e-mail server.
- This distribution list has reached the maximum size for your network e-mail server. Only the first of members have been added.
- This distribution list has reached the maximum size for your network e-mail server. No members could be added.
The second sentence of the message (which may not show up in your error message) depends on how many items were already in the distribution list and how many you are currently trying to add.
There is not an exact number of contacts that you can add in a distribution list, the limit is based on the total size of the contacts. If you use the very basic information for contacts (for example, only the name and the e-mail address), your distribution list limit may be 125 to 130 contacts. On average, the number of contacts that you can add to a distribution list is limited between 50 and 70 contacts, but for some users who have contacts that contain a large amount of data, the distribution list limit can only be as little as 25 contacts. The distribution list limit is also based on the property size limit of the Microsoft Exchange server.
The property size limit for an Exchange server is about 8 kilobytes (KB). The Exchange server stores all contact links in one property store, so the distribution list limit depends on the contact's name length and the size of the entry ID (the type of e-mail address and the length), on average.
Link2Exchange cannot increase the maximum size of a distribution list. It is built in to Exchange and is non-configurable.
Procedure:
Create multiple distribution lists, each with no more than the maximum number of items. (Remember, this limit is not a specific number so it can vary. Usually you can get 100 contacts into a distribution list but it could be as few as 25. The only way to know is to try it with your data.)
