Opening a shared folder in Entourage

Overview:

NOTE: If you would like to open another user’s folder, that user must grant your account access to their root mailbox with the permission of folder visible. Then that user would need to grant access to the specific folder you wish to open with the appropriate permission.

Refer to the KB article on “how do I share folders in Entourage”.

Procedure:

The process for opening another user’s folder in Entourage can work for the Calendar, Inbox, and Address Book.

The example below is for Opening a shared Calendar

Open Entourage select the FILE then Open Other User's Folder

Choose the Type of folder you wish to open- for this Example open Calendar

Click on the Find User Button

Type the username that granted you access to the Calendar folder, for this example the user is test1- Click Find

The users account will populate within the BOX; highlight the account then Click Advanced


Under the Server Address field, yourdomain.com will be listed.

Change the address to the following:

Yourdomain.com/exchange/YourUserName@YourDomainName.com

NOTE: If this does not work, contact your Exchange provider for more details.

After making this change click “OK” and then click “OK” again at the “Open Other User's Folder” window.

If you do not have permission to that user's Exchange calendar, a message window will be displayed.

If you do have permission, the connection will be made and after a short period of time that person's calendar will appear as a folder in the “View” list on the left side:

  

Removing a shared Calendar from view

Open Entourage and click on the “Calendar” icon to switch to the calendar views.

Hold down the Control key and in the list of views click on the shared Calendar. A context menu will pop up. Select “Remove from View”:
