My mailbox is full. How can I manually archive old emails to save space in my account?

Overview:

Each Link2Exchange email account has a quota set on it which restricts the amount of mail you can store. You can purchase additional disk space for $3.00/month per 1000MB. Alternatively, if you have a lot of old email that you believe you don't need, you can archive it off of our server onto your local PC.

NOTE: Should you choose to archive your mail you should be aware that the mail you archive will only be accessible on the PC to which you archive the mail. For example, if you archive your old email onto your work PC, you won't be able to access it from your home PC. If you require access to your old email from multiple locations, you should just purchase additional disk space from us.

Procedure:

Microsoft has provided an online tutorial for archiving old email. If you want to know how auto-archiving works or need a more user-friendly set of instructions, click this link: HowTO: File or archive your e-mail on your own computer in Microsoft Outlook. (NOTE: Click the next button at the bottom on the linked page to begin the HowTO article.)

  1. On the File menu, click Archive.

  2. Specify whether to archive all folders using their AutoArchive settings (that is, either the default settings, or per-folder settings you specified for individual folders) or whether to archive an individual folder using the options you specify in this dialog box. (See the link to configuring your AutoArchive settings under 'Related Links' below.

  3. If you choose to archive a single folder:
    1. Click on the folder you want to archive.

    2. Select the cut-off date for archiving email. (All email in this folder sent/received prior to that date will be archived.)

  4. Click OK.

Your email will be archived onto your local machine. From this machine, you'll be able to access this email by viewing your Archived Folders (usually located just above the Public Folders in Outlook). If you can't see an 'Archived Folders' section, click Go then click Folder List. You should now see the Archived Folders section in Outlook.

***NOTE*** Controlling your mailbox quota size, users need to delete un-wanted emails from their INBOX. Those un-wanted emails then move to the DELETED FOLDER. Removing the un-wanted emails from the DELETED FOLDER will permently removed the emails off the server, freeing up your quota size.
