I want an email username longer than 15 characters. How can I get around the current 15 character limit?

Document: Q1114

Overview:

The Link2Exchange provisioning system is only designed to allow 15 character usernames. There are several technical reasons why this is the case. That limitation doesn't mean you cannot have people email you at your desired username, however. The 15 character limit applies to your login name for email but you can create longer aliases and point them to your mailbox should you want a name longer than 15 characters.

For example, if I wanted my email address to be thebestexchangeservicearoundis@mydomain.com, then I'd need a username of thebestthebestexchangeservicearoundis which is longer than the 15 character limit. The workaround is to choose another name, in this case I'll choose modesty but that's just to illustrate that it doesn't matter what you choose for your actual username. Once I have that username, I'd create an alias in the Link2Exchange Control Panel to point thebestexchangeservicearoundis@mydomain.com to my real address of modesty@link2exchange.com. I log into the system as modesty@link2exchange.com but I receive mail for both that address and the thebestexchangeservicearoundis@link2exchange.com address.

See below for details on setting this up. Please note: For customers whose email address ends in @link2exchange.com, you must contact our support to set up any aliases on your account.

Procedure:

  1. Create an account with an acceptable username (less than 16 characters long).
  2. In the main control panel admin window, under Hosted Exchange 2003 click Distribution Lists.
  3. Create the Distribution List.

    1. Click Add Distribution List.

    2. Next to Display Name, type in your Full Name (or the name you'd like to associate with this email address).

    3. Next to List Address, type in the username at which you want to receive email. (In my case, that'd be thebestexchangeservicearoundis.)

    4. Next to Owner, select your email address.

    5. Next to Description, type in an optional description of why you created this alias.

    6. Click Add.
  4. In the main control panel admin window, under Hosted Exchange 2003 click Distribution Lists.
  5. Add members to the Distribution List.

    1. Click the radio button next to the name of the Distribution List you just created then click Manage Distribution List.

    2. Scroll to your name (you may have to go to a different page if your organization has more than 10 users) and put a check next to your real email address. (In my case, that'd be modesty@mydomain.com.)

    3. Click Subscribe.
  6. Send yourself a test message at your new alias to ensure it forwards to your real mailbox. Should it fail, contact our support team for assistance.
