Overview:
By default, email messages are sorted by date in each of your Outlook folders. You can, however, change this setting so that it sorts by: conversation, who the message is from (or to), the size of the message, subject, type, flag (for example, messages may be flagged for follow up or not to be forwarded), whether it has attachments or not, message importance (low, normal or high), or even message categories.
To do this, follow the directions below. Please note that the change will only take effect in the folder you're using, not all folders.
Procedure:
- In Outlook, click View->Toolbars->Advanced (so that there's a check next to Advanced).
- The Oulook toolbar will appear:

- Click on the folder whose sort order you'd like to change.
- Click the Group By Box icon:

- The Group By box will appear above the messages list:

- Click View->Arrange By->...
- Date - to arrange messages by the date they were received (or sent)
- Conversation - to arrange messages in threaded conversations. Messages will be grouped by conversation. The conversation with the most recently added message will be listed first.
- From - to arrange messages according to whom they were from
- To - to arrange messages according to whom they were sent
- Size - to arrange messages according to their size (largest on top, by default)
- Subject - to arrange messagess by subject (similar to by conversation; this will group messages which have the exact same subject line)
- Type - to arrange messages by item (item: An item is the basic element that holds information in Outlook (similar to a file in other programs). Items include e-mail messages, appointments, contacts, tasks, journal entries, notes, posted items, and documents.) type and sorts by received date. For example, all e-mail messages are in one group, meeting requests are in another, and task requests in a third.
- Flag - to arrange messages by flag color and sort by the received date. This arrangement shows only messages that you have flagged. Any message flagged by someone else (the message sender) is displayed in the Unflagged group.
- Attachments - to group messages by whether or not they contain attachments
- Email accounts - to group messages by which mail account you received them in (only useful if Outlook is connecting to more than one email account)
- Importance - to group messages by importance (high, normal, low)
- Categories - to group messages by categories and sort by the received date.
- You can assign a category to a message by right-clicking on it then clicking Categories. Put a check next to each category you want this message assigned to then click OK.
- Some arrangements can be further modified, for example, by having the oldest message listed first when arranging items by Date. To reverse the sort order, click the Group By box once (with the left mouse button).
