HOWTO: Add a file (not attached to an email message) into your Public Folders

Overview:

Public folders are great for collaborating within an organization. With Public Folders you can setup shared calendars, place emails in a central location where everyone in a project, department or even everyone in the whole company can see them. A good use of Public Folders for a company would include a 'Human Resources' public folder where employees can download items such as Requests for Time Off, HR Policies and Procedures or information on the 401K or health insurance plans. Some of this information will be in email form and can just be copied straight into the Public Folders. Some of it will be in Excel, Word or some other type of file. If you just copy those files into the Public Folders, they won't be accessible via the Outlook Web Interface. Follow the procedure below to upload files to your Public Folders to ensure that you will be able to access them via Outlook Web Access.
Because of the shared nature of the Link2Exchange system, you have to be careful of how you modify public folder permissions. There are several 'Global' level groups that you do not want to give any permissions to normally. These groups are: Anonymous and Default. Giving permissions to these groups can give other users on the Link2Exchange system access to your public folders.

Procedure:

  1. Open Microsoft Outlook and log into your Link2Exchange account.

  2. Click Go then click Folder List.

  3. Click the '+' sign next to Public Folders.

  4. Click on the folder for your organization.

  5. If you want to put the file in a subfolder, say 'Human Resources', then click on that subfolder to open it.

  6. Click New.

  7. Next to Subject, type in a brief summary of the information contained in the file.

  8. Click the paperclip icon on your toolbar.

  9. Browse your computer to find the file you want to upload and the double click on it.

  10. If you'd like to give a longer description of what the file contains, type it into the large text box.

  11. Click Post to upload the file to your Public Folders.
