Overview:
Many times users will want to make a copy of their contacts, calendar or a specific email folder without copying their entire mailbox. This is especially common for users who share contact lists and want to keep their personal contact list up-to-date. By exporting and then importing the information, the user can decide how to handle any conflicting information. (Conflicting information such as a change to a contact in the main contact list which hasn't been updated to your personal contact list yet.)
The example below will be on importing a previously-exported Contacts folder into an organization's public folders but this procedure would work just as well with any type of folder, including Calendar and Inbox.
IMPORTANT NOTE: Before you can import data into Outlook you must first export it to a pst file (or some other format supported by Outlook. See Related Documents (below) for how to export a folder or an entire mailbox from Microsoft Outlook.
Procedure:
- In Outlook, click Go->Folder List (or View->Folder List, depending on the version of Outlook you're using).
- Click the folder you want to import data into on the left to highlight it. (For example, Scotts contacts in Public Folders.)
- Click File->Import and Export.
- Click Import from another program or file and then click Next.
- Scroll down and click Personal Folder File (*.pst) then click Next.
- Choose the location on your hard drive where you stored the previously exported pst file.
- Under File to Import, click Browse.
- Under Look In, click Desktop.
- Double-click on the pst file you created when you exported your data previously.
- Click OK.
- Choose how you want to deal with duplicate items. If you're sure that the data you're importing is more up-to-date than the data in the folder you're importing to then click Replace duplicates with items imported. In general, it's best to Allow Duplicate Items when in doubt. You can go back later and remove them easily.
- Click Next.
- Click the folder you want to import data from to highlight it. (For example, Contacts. Generally you'll see the folder(s) you wanted to export and the Deleted Items folder which you probably didn't want to export.)
- If the folder you clicked on has subfolders that you also want to import, put a check next to Include Subfolders.
- Click Import items into the current folder.
- Click Finish.
- If a password is requested, enter in the password you typed in when you exported the pst file.
Once the import is complete, you'll be done!
