HOWTO: Export email, contacts or calendar entries from a folder in Outlook

Overview:

Many times users will want to make a copy of their contacts, calendar or a specific email folder without copying their entire mailbox. This is especially common for users who share contact lists and want to keep their personal contact list up-to-date. By exporting and then importing the information, the user can decide how to handle any conflicting information. (Conflicting information such as a change to a contact in the main contact list which hasn't been updated to your personal contact list yet.)

The example below will be exporting the Contacts folder to import it later into a different folder but this procedure would work just as well with any type of folder, including Calendar and Inbox.

Procedure:

  1. In Outlook, click Go->Folder List (or View->Folder List, depending on the version of Outlook you're using).
  2. Click the folder you want to export on the left to highlight it (in this case, Contacts).
  3. Click File->Import and Export.
  4. Click Export to a file and then click Next.
  5. Click Personal Folder File (*.pst) then click Next.
  6. Click the folder you want to export to highlight it. (For example, click Contacts.)
  7. If the folder you clicked on has subfolders that you also want to export, put a check next to Include Subfolders.
  8. Click Next.
  9. Choose the location on your hard drive where you want to store the contact list.

    1. Under Save exported file as, click Browse.

    2. Under Save In, click Desktop.

    3. Next to filename, type a descriptive name for this file so you'll remember what's in the file. (For example, contacts-Jan2005.)

    4. Click OK.
  10. Choose how you want to deal with duplicate items. This setting will only matter if your existing Contact list has duplicates. In general, it's best to Allow Duplicate Items when in doubt. You can go back later and remove them easily.
  11. Click Finish.
  12. Select whatever options you wish, then click OK. Generally, unless there is some need for special security, these options don't need to be modified at all.
Once the export is complete, you will be ready to perform an import into another folder in your account or someone else's.
