Add an email address to a Public Folder in the Link2Exchange Control Panel

Overview:

With the Link2Exchange control panel, you can assign an email address to a top-level public folder. (Top level folders are folders configured by our control panel, such as your 'Public Folders' folder.

Because of the shared nature of the Link2Exchange system, you have to be careful of how you modify public folder permissions. There are several 'Global' level groups that you do not want to give any permissions to normally. These groups are: Anonymous and Default. Giving permissions to these groups can give other users on the Link2Exchange system access to your public folders.

Procedure:

  1. Log into your Link2Exchange Control Panel as admin@domain.com.
  2. Under Hosted Exchange 2003 or Hosted Exchange 2007, click public folders.
  3. If the public folder you want to create an email alias for doesn't exist, add it.

    1. Click add public folder.

    2. Next to Name, type .

    3. Next to Display Name, type .

    4. Next to Alias Name, type . This will be the first part of the email address assigned to your public folder. So, if you set the alias to public-documents then you will be able to send email to public-documents@ the mail will be delivered to this folder.

      1. For this to work, appropriate permissions must first be set. (See below.)
    5. Do NOT put a check next to Hide Public Folder From Address List.

    6. Click Add.
  4. If the folder already exists, create the email alias for the Public Folder.

    1. Click the radio button next to the public folder for which you wish to add an email alias.

    2. Click Manage Email Alias.

    3. Click Add Email Alias.

    4. Type in the email address you wish to assign to the folder then click Add. The address has now been attached to this folder.

      • DO NOT USE AN ADDRESS YOU WANT TO ASSIGN TO A USER. This address must be unique to this folder. It cannot be shared with a user.

      • NOTE: This email alias must be an email address on your domain, for example: hr-folder@domain.com.

  5. Grant yourself ownership permission on the public folder.

    1. On the left, under Hosted Exchange 2003, click Public Folders.

    2. Click on the radio button next to public folder to which you added the email alias then click manage permissions.

    3. Click Add Permissions.

    4. Next to sam account name, select your name.

    5. Next to select a role, select owner.

    6. Click Add.

    7. Next to sam account name, select your allusers@domain.com.

    8. Next to select a role, select contributor. This will ensure that anyone in your organization can email to this folder. If an individual user has more permissions then their permissions will override this.

    9. Click Add.

    10. If you wish to give other specific permissions to other users (such as Publishing Editor so they can edit other people's email), you may do so here by selecting the user then selecting the appropriate permission level.

    11. Close your web browser.
  6. OPTIONAL: Allow users outside of your domain to send mail to a public folder. Note: These permissions can only be granted in Outlook once you've given yourself ownership permissions on the folder.

    1. NOTE: If you grant external users the right to send email to this folder, it may receive spam or be filled up by unwanted email. You should definitely keep a close eye on this folder if the public can send email to it.

    2. Open Microsoft Outlook and browse to the public folder you just created.

    3. Right-click on the public folder and click Properties.

    4. Click the Permissions tab. If you do not see the Permissions tab, repeat the step above to grant yourself owner permission on this folder in our control panel.

    5. Under name, click Anonymous to highlight it. You'll probably have to scroll down the list to see it.

    6. Next to Permission Level, select Contributor.

    7. Click OK.
